Client Service and Print Project Coordinator

Duties: Greet customers in person, by phone, and by email in a professional and friendly manner.
Respond to customer inquiries and help customers identify the right print, signage, and finishing options for their projects.
Gather accurate job details, including size, quantity, material, artwork, finishing, deadline, delivery, and billing information.
Prepare clear job notes and instructions for design, prepress, production, and finishing teams.
Review customer requests and artwork submissions for missing information before jobs move forward.
Communicate with customers regarding estimates, approvals, timelines, updates, and completed orders.
Assist with basic estimating, quote preparation, order entry, and project follow-up.
Coordinate with internal departments to help ensure jobs are produced accurately and on schedule.
Monitor active jobs and follow up on outstanding details, approvals, or customer responses.
Learn and use company systems for customer records, quotes, job tickets, emails, and production notes.
Help maintain organized customer files, job records, and order documentation.
Support walk-in customers with common products such as business cards, forms, brochures, posters, signs, banners, labels, and other printed materials.
Escalate complex production, pricing, design, or customer concerns to the appropriate team member or manager.
Assist with general administrative tasks related to customer service, order processing, and front office workflow.
Maintain a positive, respectful, and team-focused approach while working in a busy production environment.
Requirements: Strong customer service and communication skills.
Excellent attention to detail and accuracy.
Ability to stay organized while managing multiple customer requests and active jobs.
Professional, friendly, and calm approach when working with customers.
Good written communication skills for email, notes, and customer follow-up.
Comfortable using computers, email, and basic office software.
Ability to learn new systems, terminology, products, and production processes.
Reliable, punctual, and able to work full-time in person at our Courtenay location.
Ability to ask clear questions and confirm details when information is missing.
Team-focused attitude with a willingness to support coworkers and production staff.
Ability to work in a busy, deadline-driven environment.
Previous experience in customer service, administration, project coordination, estimating support, retail management, or office reception is an asset.
Previous experience in printing, signage, graphic design, marketing, or production is an asset, but not required.
High school diploma or equivalent preferred.
Must be legally able to work in Canada.
